Project Overview
Having the opportunity to continue to grow alongside a client is a highlight for us here at Maximillion Events. We were delighted to have been engaged for the third year to help with Optima Education’s 2024 flagship conference which this year, was hosted at the Royal College of Physicians.
Sarah, our Managing Director and the Project Manager for this event is proud to work with Optima Education and says that ‘working within the medical industry is a real highlight of her career’. Sarah enjoys getting involved in new event concepts, helping create an interesting and educational event that engages both ‘in-person’ and virtual attendees equally.
The Challenge
The organising team at Optima Education are constantly pushing the boundaries in terms of the format of their conference. This is all in a bid to improve the engagement levels and the learning of both ‘in-person’ and virtual attendees, ultimately benefiting patients across the world.
The Challenge for this year was simple; Optima Education really wanted to create a programme that was informative, educational and enjoyable. All in equal measures. Having worked within the Medical Conference industry for the past 12 years, Sarah took on the challenge and worked closely with the organising team at Optima to deliver a must attend event! Key outcomes were quickly established which included a varied programme offering a unique blend of educational sessions, hands on experiences, debates and live surgical case studies.
Our Solution
Being involved again allowed us to build on prior experiences and support Optima Education as they strive towards changing the way medical education is delivered and the shift to more patient-oriented goals. Planning was key!
AV & Production
Working with the inhouse AV team at the RCP we ensured tech checks were carried out with each live case centre, to allow an understanding of the format for these hugely important live sessions and to ensure (the vital!) technical compatibility!
Creation of a run order allowed the show techs on the day to follow exactly what was to happen when, allowing for a seamless broadcast to be streamed whilst at the same time capturing a recording for future learning.
Whilst the prep work is key to ensuring a common understanding or roles and responsibilities there will inevitably be changes that arise that aren’t within your control…for example operating or broadcast complications, which are all part and parcel of a live broadcast from multiple hospitals. Having the confidence and ability to navigate these challenges in a timely manner (think split second!) is a real value add that Maximillion can bring to your event.
Speaker & Chair Management
Providing both Chairs and Speakers with a tight brief in advance of their arrival and on the day, ensured all Speakers and Chairs were comfortable and confident with how their session would pan out.
The content of each session, which focused around one of four different themes: Angina, Calcium Management, Complex PCI/CTO & The Future, had been designed and scripted in advance taking on board relevant speaker and chair experiences and tapping into their clinical minds. Each session had purpose-built slides to ensure consistency of message, ease of dissecting the information provided and a uniformity, to keep everything on brand. The AV team at RCP all commented on how impressive the content was.
Delegate Management
Ensuring your delegates arrived well prepared and ready to learn is key for any conference. At Optima London PCI 2024 this was achieved by well-presented and clear pre-event information being shared in advance at different points of the delegate journey (event registration, pre-event information and on the day registration) with the option to get involved with the conversation taking place on Socials #.
https://www.crowdcomms.com/In advance of the event delegates were invited to download the event app, designed in partnership with CrowdComms to promote further learning and providing interactive opportunities for both the in person and virtual audience. This tool was also used to collate post event feedback, which on submission, Certificates of Attendance were sent.
